What does a wedding planner do?
Every couple dreams of a perfect wedding, but achieving that perfection takes meticulous planning and coordination. Here are just a few things I help my couples with as a full-service wedding planner in New York.
Venue Visits and Setup
Site visits are one of the most important parts of my job as a full-service wedding planner. They allow me to visualize your event in the space, create your unique wedding design, and foresee any potential issues. These walkthroughs are crucial for visualizing the setup, confirming logistics, and addressing any last-minute changes. This always takes more than one visit, but it makes a big difference if you want a smooth setup on the big day.
Coordinating with Vendors and Overseeing Setup
Throughout the planning process, I’m answering hundreds of emails to make sure that all of your vendors know exactly what their role is on the wedding day. Florists, caterers, photographers, and musicians all need to be on the same page. I spend a good chunk of my day making calls, sending emails, and confirming details. Each vendor plays an important role. Depending on the day, I might coordinate a tasting with the caterer or finalize the flower arrangements with the florist.
Even though I’ve prepared for every scenario possible before the wedding day, I’m also there to oversee the setup and answer any questions on the wedding day. Weddings are live events, and sometimes things don't go as planned. From sudden weather changes to unexpected vendor delays, I've seen it all. My job is to keep calm and find quick, effective solutions to keep everything on track.
Problem Solving
While I wear a lot of hats as a wedding planner, the one I wear the most is problem solver. Maybe the linens we ordered are out of stock, or the couple has decided they want to hire a band instead of a DJ. Quick thinking and problem-solving are all part of the job.
Client Communication and Updates
Throughout the planning process, keeping clients updated is vital. They're the stars of the show, after all. Regular check-ins help manage expectations and reassure them that everything is under control. When our couples hire us, we want them to feel confident and excited, knowing their vision is being brought to life and they can trust us to handle everything (so that they can enjoy the fun parts of wedding planning!).
I also spend time every day updating planning documents, timelines, and budgets. There are a million and one details that go into planning a wedding. Spending time updating things as we go ensure that every detail is tracked and nothing is overlooked.
Team Coordination and Wrap-Up
During wedding season, I will also often have team meetings and meetings with vendors to go over the wedding days that are approaching. We discuss what’s been accomplished, what’s pending, and any new challenges that have arisen. I’ve been a wedding planner for a long time now, and I know firsthand how imperative team coordination is before the wedding day! It takes a village!
Finally, I check my emails one last time, respond to any urgent messages, and prepare for the next day.
